Over the years, we have supported Malam in numerous digital products.
Among its key digital products are the advanced payroll system, which includes digital forms and online payslips, as well as the attendance system, a process-management system, and an employee portal.
Additional systems include the HRM platform, Hercules, Form 101, the Smart system, and the Fatal system.
Roles & Responsibilities
My role: Concept | Research | UX.UI Design
Collaborations: Product Managers | The Development Team | Development Team Lead | VP of Marketing | Systems Analyst
Main Platform Goals
01.
Manager & Employee
The system needs to support two primary modes, each requiring different functionalities.
02.
Innovations
Providing a fresh interpretation of existing, functioning systems and presenting a new perspective that brings additional value to the user.
03.
Information Hierarchy
Organize and prioritize information to help employees clearly and easily understand what is most relevant to them.
User Research
As part of the user research, we conducted ten in-depth interviews, both face-to-face and online, with users from our target audience. In parallel, we carried out direct observations in which participants demonstrated how they actually report their attendance. This combination of interviews and field observations enabled us to gain a comprehensive understanding of both their user experience and the real-world challenges within the reporting process.
After collecting the data, we mapped the main pain points by category, analyzed the findings, and identified three distinct user segments. The insights were presented to the client, along with recommendations for optimal UX design, examples of a potential component library, and suggestions for improving workflow processes.
“I forgot my card and had to enter it manually.”
“Only at the end of the month did I notice I was missing a checkout, but I couldn’t really remember…”

“I’d be happy to do this from my phone if there were an option.”
“Most of the information isn’t relevant for me.”
“The fingerprint didn’t register.”
“I calculate the quota myself because I don’t have any indication of what it is.”
The images are from the observation process conducted, with personal information blurred to ensure privacy.
Competitive Analysis

Conclusions
The research indicates that a precise balance is required between three key components:
-
Modern, visually appealing design
-
An intuitive user experience
-
Comprehensive system capabilities
The optimal system should combine all these elements while maintaining a clean, uncluttered interface. At the same time, it should allow users to personalize the information display according to their needs and provide a proactive notification system to streamline workflows.
Attendance System

When an employee submits a vacation request, the manager can see whether it overlaps with the vacations of other team members. In the previous version, the system displayed only the employee’s name and the vacation dates. In the new approach, we created a dedicated popup called “Conflicting Absences”,
which includes:
-
A list of employees with overlapping vacations
-
Date details
-
Total number of conflicting days
-
Status and a direct link to the pending request

We added a “Future Vacations” popup that gives the manager a broader view of the employee’s status. In addition to the current vacation request, the popup displays:
-
A list of the employee’s upcoming vacations
-
Number of days for each vacation
-
Status
-
Current balance
Design System
In this project, we used Material 3 as the foundation for our design system, applying its color rules, typography, and component library. Working with the design system enabled us to create a consistent, clear, and user-friendly experience, and supported close collaboration with the development team.
We took the existing principles and components and adapted them to a visual language tailored specifically to our system.
